The System Every Wellness Center Needs When a Practitioner Leaves

Maybe it's expected. Maybe it's blindsiding. Either way, you now have to manage the departure in a way that protects your clients, steadies your team, and maintains a reputation you've spent years building—all while processing your own disappointment, stress, and the logistical nightmare of replacing them.
This is one of the most emotionally and operationally complex situations wellness center owners face. And most do it without any system at all.

As she frames it: "It's important to be prepared with a system because team members leaving is inevitable."
The first part is the offboarding checklist—a practical list of everything that needs to happen and when. Kendall's recommended steps include securing an official resignation letter with a confirmed last day, scheduling an exit interview, ensuring all patient notes are completed, retrieving office equipment, and removing system access. Building this into a documented timeline removes the chaos of trying to remember everything in the moment while emotionally managing the news.
The second and most client-facing part is the transition communication. Kendall's approach is clear: notify current patients early and often. She recommends a letter that explains the transition and offers clients three specific options—transitioning to another provider within your practice, continuing with their current provider at their new location if applicable, or receiving a referral out into the community. Providing concrete options rather than vague reassurances reduces client anxiety and demonstrates that their care remains the priority even amid staff changes.
The third part is the public farewell. Once all current clients are informed and the provider's last day is approaching, an email newsletter and social media posts create a warm, professional send-off. This does two things simultaneously: it gives your broader community an opportunity to share appreciation, and it signals to prospective team members and clients alike that your practice handles transitions with integrity.
But the most important section of this episode addresses the emotional dimension that systems alone can't fully solve. When someone leaves unexpectedly, especially after significant investment of time, energy, and resources, staying gracious feels genuinely hard. Kendall doesn't minimize this: "It's incredibly difficult at times to stay positive. When we've invested in someone to join our team, they leave unexpectedly, it causes financial and energetic burden to our business."
And yet: "As the owner and the leader we have to step back, try to look at all the sides, have the best transition possible and wish that person well. You will be remembered as the leader who was understanding and kind, and that kindness and positivity will come back to you in the future."
This is leadership wisdom that extends well beyond the practical checklist. How you handle departures shapes how your remaining team perceives you, how your community understands your values, and how former employees speak about you when they move into new professional circles—which in the wellness industry, is almost always someone who knows someone you know.
